Privacy Policy

How we handle the personal information you and your committee entrust to Bilby Bunch.

Who we are

Bilby Bunch (“we”, “us”, “our”) provides software that helps Australian P&C, P&F, PTA and similar not-for-profit committees run their members, meetings, motions and minutes. This policy explains what personal information we collect, why, and the choices you have. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

Information we collect

  • Account details — your name, email address and, if you choose to add it, a mobile number. Signing in is passwordless, so we do not store any password for you.
  • Organisation content — the information your committee enters to run itself: member records, meetings, agendas, motions, votes, minutes, notices and any files you attach.
  • Payment information — where your organisation uses the optional payments feature, card and bank details are collected and processed by our payment provider (Stripe). We do not store full card numbers ourselves.
  • Usage information — basic technical and analytics data (such as pages visited and general device information) that helps us keep the service reliable and improve it.

How we use it

  • To provide the service — signing you in, showing your committee's data to the right people, and sending the emails the service depends on (magic-link sign-in, meeting notices and reminders).
  • To operate the optional payments feature, when your organisation turns it on.
  • To keep the service secure, diagnose problems and improve how it works.
  • To respond to your questions and support requests.

We do not sell your personal information, and we do not use your committee's content to advertise to you.

Cookies & analytics

Our public website uses cookies and third-party analytics (including Google Analytics and Mouseflow) to understand how the site is used so we can improve it. You can control cookies through your browser settings.

Payments

Payments are processed by Stripe. When you make or collect a payment, the card and bank details you enter are handled by Stripe under its own privacy terms. We receive only the information we need to show your organisation its transactions.

How your information is shared

Your committee's content is private to the members of your organisation and the access levels you set. We share personal information only with the service providers who help us run Bilby Bunch (for example hosting, email delivery, payments and analytics), and only as far as needed to provide the service. We may also disclose information where the law requires it.

Storage & security

We build Bilby Bunch Australia-first and take reasonable steps to protect personal information from misuse, loss and unauthorised access. Passwordless sign-in means there are no passwords to be guessed or reused. No online service can be guaranteed perfectly secure, so please keep your private sign-in link to yourself.

Your choices & rights

You can ask us to access or correct the personal information we hold about you, or to delete your account. Much of your information can also be updated directly in your profile. To make a request, or if you have a privacy concern, contact us at hello@bilbybunch.com.

Children

Bilby Bunch is intended for adult committee members and volunteers. It is not directed at children, and accounts are created and managed by the adults who run each organisation.

Changes to this policy

We may update this policy from time to time. When we do, we'll change the “last updated” date above and, where the change is significant, let you know.
